Integration sounds like the hard, expensive part - and it can be, if you reach straight for custom engineering. But most businesses never need to. There are three levels of integration, and the lightest one usually does the job.

The three levels

  • Built-in (easiest): turn on the AI features already inside your CRM, helpdesk, email or office suite. Zero integration work.
  • Connectors (middle): use ready-made links (native integrations or tools like Zapier) to pass data between apps without code.
  • Custom (heaviest): build a bespoke connection via APIs. Powerful, but costly and ongoing to maintain.

Start at the top and only drop a level when you genuinely must.

Integration is a cost multiplier

The moment you go custom, you add development, testing and maintenance - a big part of the hidden costs of AI implementation. Many "integration problems" vanish once you accept a built-in feature that is 90% as good with none of the overhead.
